Privacy notice

Who we are
FLICKSOFT LTD is the controller of the personal data described in this notice. That means we decide how and why it is used, and we are responsible for it.
FLICKSOFT LTD71-75 Shelton StreetCovent GardenLondon WC2H 9JQUnited KingdomRegistered in England and Wales, company number 17385422For anything about your personal data, write to privacy@flicksoft.co.
This notice applies to business contacts we email about our services, people who reply to us, and people who contact us through this website.
What we hold about you
If we have contacted you about our services, we hold:
- your first and last name
- your job title
- the company you work for, its website domain and approximate size
- your work email address
- the country you work in
- a record of the emails we sent you, any reply you gave, and whether you asked us to stop
We do not collect personal email addresses, phone numbers, home addresses, or any sensitive information such as health, beliefs or ethnicity.
Our outreach emails do not contain open-tracking pixels or click tracking. The unsubscribe link is the only tracked link, so that we can record your request.
If you contact us through this website, we also hold whatever you choose to tell us in your message.
Where we got it
We did not collect your details from you directly. They came from Apollo.io, a commercial provider of business contact data. Apollo compiles its database from public sources and contributor networks.
Before we email anyone, we check that the address is valid using an email verification service. Nothing else is added to your record from other sources.
Why we use it
We use your business contact details to tell you about services that may be relevant to your professional role, to respond if you reply, and to keep a record of anyone who has asked us not to contact them.
Our lawful basis is legitimate interests, under Article 6(1)(f) of the UK GDPR and the EU GDPR. Our interest is in growing our business by contacting people whose work our services relate to. We have carried out a written assessment that weighs this interest against your rights, and we rely on it only because:
- we contact people in their professional capacity, about matters connected to their role
- we use business details only, and as few of them as we need
- we send a small number of emails, and every one tells you who we are and where your details came from
- you can stop all contact at any time with one reply or one click
You have an absolute right to object to direct marketing. If you object, we stop. See section 9.
Use of AI
We use an AI language model to help draft the opening lines of our emails. It is given your first name, job title, employer name, country and company size, and nothing else. A person at FlickSoft is responsible for the campaign and its content.
We do not make decisions about you by automated means that have legal or similarly significant effects.
Who handles it for us
We do not sell your data or share it with anyone for their own marketing. We use the following service providers, who process it only on our instructions:
| Provider | What it does for us | Location |
|---|---|---|
| Apollo.io | Source of business contact data | United States |
| MillionVerifier | Checks that email addresses are valid | European Union |
| Smartlead | Sends our emails and records replies and unsubscribes | United States |
| Google Workspace | Our mailboxes and spreadsheets | Global |
| Supabase | Our contact database | Japan |
| Anthropic | AI model used to draft email opening lines | United States |
| Hostinger | Hosts the server that runs our internal workflows | European Union |
| Trello (Atlassian) | Tracks replies that need a response from us | United States |
We may also disclose data where the law requires it, or to professional advisers where needed to establish or defend legal claims.
Transfers outside the UK and EEA
Some of the providers above are based outside the United Kingdom and the European Economic Area. Where that is the case, the transfer is covered either by an adequacy decision for the destination country, or by contractual safeguards approved for this purpose, such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses.
You can ask us for more detail about the safeguard that applies to a particular provider.
How long we keep it
| Situation | What happens |
|---|---|
| You never reply | We delete your record 12 months after our first email to you. |
| You ask us to stop | We keep only your email address on a do-not-contact list, with no end date, so that we can honour your request if your details reach us again. Everything else is deleted within 30 days. |
| You reply and we talk | We keep the correspondence for as long as the conversation or business relationship continues, and for up to 6 years afterwards where needed for legal or accounting reasons. |
How to stop our emails
Any one of these is enough:
- reply “no” to any email from us
- use the unsubscribe link at the bottom of that email
- write to privacy@flicksoft.co
The unsubscribe link takes effect immediately. Replies and emails are actioned within two working days. You do not need to give a reason, and we will not ask for one.
You can also ask us to stop contacting everyone at your company. Tell us the company domain and we will add it to the same list.
Your rights
Under UK and EU data protection law you can ask us to:
- tell you what we hold about you and give you a copy
- correct anything that is wrong
- delete your data
- restrict how we use it while a concern is looked into
- stop using it for direct marketing, which we will always do
Write to privacy@flicksoft.co. It costs nothing, and we will respond within one month. We may ask for enough information to confirm that the request comes from you.
Complaints
If something concerns you, please tell us first so that we can put it right.
You also have the right to complain to a regulator. In the United Kingdom this is the Information Commissioner’s Office, at ico.org.uk/make-a-complaint. If you are in the European Economic Area, you can contact the data protection authority in the country where you live or work.
Changes to this notice
We will update this page if how we handle personal data changes. The date at the top shows when it was last revised.
